Schedule Catalogs

Updated: Feb 2
Goal: To build the "Blueprints" of time. This section defines how shifts are structured, how rotations work, and how payroll weeks are aligned.

The Schedule Catalog is the foundation of the calendar. Before you can assign an employee to a shift, the system needs to know the "rules" of that shift. This section takes abstract time and turns it into a repeatable, manageable structure.
The Three Pillars of a Schedule
Building a schedule is a linear process. You must create these three components in order:
Base Models (The Pattern)
Purpose: To define the "Day On / Day Off" rhythm.
Example: A "4-On, 3-Off" rotation or a standard "Monday-Friday" work week.
Key Detail: This doesn't include specific times yet; it only defines which days of the week are considered workdays versus rest days.
Shifts (The Clock)
Purpose: To define the exact hours worked.
Configuration: You must input a Start Time and a Duration.
Variety is Key: Even if everyone works 8 hours, if one group starts at 06:00 and another at 07:00, these must be entered as two distinct Shifts.
Patterns & Schedules (The Assignment)
Purpose: This is where you combine a Base Model with a Shift.
Payroll Alignment: Here, you set the "Start Date" for the rotation.
Example: Setting a start date of Monday at 00:00 tells the system that the payroll week runs Monday to Sunday.
Step-by-Step: Creating a New Shift Pattern
Follow these steps to set up a new 12-hour weekend rotation:
Create the Base Model:
Navigate to Schedule Catalogs > Base Models.
Define a pattern where Friday, Saturday, and Sunday are "On" and Monday–Thursday are "Off."
Define the Shift:
Navigate to Schedule Catalogs > Shifts.
Enter a Start Time (e.g., 06:00) and a Duration (e.g., 12 hours).
Build the Pattern:
Navigate to Schedule Catalogs > Patterns.
Select your "Weekend Model" and link it to your "12-hour Shift."
Finalize the Schedule:
Name the schedule (e.g., "Weekend Days - Line 1").
Set the Start Date to match your current payroll cycle.
Managing the Workforce (Schedules)
Once the "Blueprints" are done in the Catalog, you move to the Schedules menu to put people into them.
Assignments: Open a specific Schedule Pattern and view the "Workforce" list.
Drag & Drop: Simply drag an employee from the list into the rotation.
Real-Time Sync: As soon as a person is assigned here, their name will automatically populate the Projection Gantt and the Action Center for all future dates.
Pro-Tips for Schedule Accuracy
The "Midnight Rule": If a shift crosses midnight (e.g., starts at 10 PM and ends at 6 AM), ensure your Duration is set correctly (8 hours) so the system accurately attributes the hours to the correct payroll day.
Granularity Matters: If you have "Early Starts" for cleanup crews (e.g., coming in 15 minutes before the main shift), create a specific Shift for them to ensure your labor costs and attendance tracking are 100% accurate.
Temporary Info: Remember that while the Schedules menu is currently used for assignments, a new, more streamlined way of managing people-to-schedules is coming soon.
