Schedules

Updated: Feb 1
Goal: To move from "Planning" to "Execution" by assigning specific employees to the shift patterns you created in the Schedule Catalog.

The Schedules section is where your workforce meets their timeline. In the Schedule Catalog, you built the empty rotations (e.g., 1st Shift Monday–Friday). In the Schedules section, you fill those rotations with names. Once an employee is assigned here, the system automatically populates their calendar in the Gantt and Action Center for weeks and months into the future.
The Logic of Assignments
In Blue Roster, you don't schedule a person day-by-day. Instead, you assign them to a Pattern.
If the pattern is a 4-week rotation, the system knows exactly which days that employee should be working for the next year based on that single assignment.
Note: This is "Standard Time." Any deviations (like vacations or overtime) are managed later in the Action Center.
3. Step-by-Step: Assigning an Employee to a Schedule
To put a person on a specific shift rotation:
Select the Schedule: Navigate to the Schedules menu and select the specific pattern you want to fill (e.g., "Night Shift - Production Line 2").
Access the Workforce List: Click Edit or the Workforce tab within that schedule.
Find the Employee: A list of all available employees will appear.
Tip: Use the search bar to find specific names quickly.
Drag and Drop: Simply click on an employee's name and drag it into the desired rotation slot.
Save/Sync: Once you save, the system "pushes" this data across the entire platform. The employee will immediately see their new schedule when they log into their app.
4. Moving or Removing Employees
Personnel changes are common in corporate environments. Managing them in the Schedules section is straightforward:
To Change a Schedule: Simply drag the employee from their current schedule and drop them into the new one. The system will automatically end their old assignment and start the new one on the date you select.
To Remove an Employee: If an employee leaves the department, remove them from the schedule pattern. This will immediately create "Red Holes" in the Action Center for all dates where that person was previously expected to work.
5. Pro-Tips for Schedule Management
The "Future" Assignment: You can set a "Start Date" for a schedule assignment. If an employee is moving to a new shift next month, you can set that up today, and the system will wait until that date to update their calendar.
Balanced Rotations: When dragging people into rotations, the Gantt view within the schedule will show you how many people are working each day. Use this to ensure you haven't accidentally put all your senior staff on the same rotation.
Temporary Status: As mentioned in the demo, this specific "Drag and Drop" interface is currently being upgraded to a more robust version soon. However, the logic remains the same: People + Patterns = Schedules.
